                                              Annual Giving Program

                                              By design, we are a not-for-profit, non-sectarian co-operative administered by a board of volunteer directors.  When the bottom-line permits, the board allocates a portion of the surplus funds to charitable organizations in Alberta, based on parameters decided in advance by the board. The board’s donation committee is responsible for receiving and vetting the applications each year. The board of directors will make final approval. Donations will be officially announced in December of each year and organization(s) will receive their cheque(s) at the AGM early in the new year.

                                              Donation Guidelines

                                              Registered charities are invited to make application by October 31 for donations/grants of up to $10,000. The charity must show that it has a clear purpose, is efficiently organized, and provides a needed service. The organization must meet the following criteria to be considered for the donation:
                                              1. The organization must be considered exempt under section 501(c)(3) of the Internal Revenue Service Tax Code, and have a Canadian Charitable Registration Number.
                                              2. The mission of the organization must focus on health, wellness and/or quality of life for a significant number of Albertan's. (At times, the board may select others causes as deemed appropriate.) 
                                              3. The organization must support a wide range of diverse individuals in one or more of the CCMS member’ communities. CCMS will not consider donation requests from individuals, parties, conferences, national health organizations, political organizations, sports or entertainment marketing or organizations that are fraternal in nature.
                                              4. Overhead expenses must not exceed 20 percent of total operating budget.
                                              5. To be considered for the donation, the organization must agree to promote the CCMS program to its members or customers. 
                                              6. All requests for donations must be submitted to the CCMS Donations Committee in writing. Verbal requests are not accepted. 
                                              7. Prior to following CCMS AGM, the receiving organization must provide a financial report on the expenditure of the funds and the promotion of the CCMS program. 
                                              The Calgary Co-operative Memorial Society Giving Program is designed to support organizations that meet the criteria described here, and is unable to consider or contribute to special or individual situations and sponsorships. 

                                              Donation Evaluation

                                              The board’s donation committee will evaluate the applications and to make a final recommendation to the board at its meeting in December. The process will include:
                                              1. Reading of the proposal to see if is eligible for further consideration.
                                              2. If eligible, scheduling an interview and/or site visit.
                                              3. Contacting reference persons regarding the applicant agency. 
                                              4. Reviewing pertinent literature that would be helpful in understanding the proposal.
                                              5. Summarize the findings and recommendations for presentation to the board of directors. 

                                              Donor Accountability

                                              Once the board has made its decision, it is the responsibility of the Donations Committee to:
                                              1. Obtain the financial report on the expenditure of the funds and an update on the promotion of the CCMS program.
                                              2. Provide a brief update to the general membership at the Annual General Meeting.

                                              How to Submit a Request

                                              All requests must be in writing and provide the following information about the request; 
                                              1. Name of company, group or person submitting the request.
                                              2. All contact information (mailing address, email address, telephone number).
                                              3. Registered charitable number.
                                              4. A brief description of the organization including its purpose, its organization, service(s) provided, needs of clients served and the communities.
                                              5. Dollar amount requested and purpose. Be specific and include as much detail as possible.
                                              6. Recognition to be provided to CCMS. Be specific.
                                              7. Annual report 
                                              8. Other information you think may be helpful.
